Special Announcements:  The Board of Directors elections are held during the November monthly membership luncheon each year for the next calendar year.  The Committee Chairpersons will be appointed by the Board member to whom that committee reports.  All qualified parties interested in serving on the Board of Directors or as a Committee Chairperson should contact the current MTPA President to express interest.   Please note that only Voting Members of the MTPA are permitted to participate in elections and serve on the Board of Directors.


-------------------Committee Chair Positions & Description of Duties:

 NFPA Chair

  • Reports to President

  • Serves as MTPA's liaison to NFPA

  • Attend NFPA Annual National Convention; present results of the National Convention to the membership during a monthly luncheon

  • Draft and provide Insider Report to NFPA as requested

 Scholarship Committee Chair

  • Reports to Director of Programming

  • Establishes and works with donor to award annual Spring and Fall student scholarships (currently sponsored by Paranet)

  • Establishes and awards annual PACE scholarship

  • Develops committee to evaluate applications and determine student winners

 Publicity Chair

  • Reports to Director of Operations – Secretary

  • Editor of MTPA’s quarterly online newsletter

Community Services Committee Chair

  • Reports to Director of Programming

  • Notifies the Director of Programming of the Legal Aid Pro Bono clinic dates and times

  • Notifies of other community service projects information for placement on the website and inclusion in blast emails


  • Schedule monthly board meetings, consult board and prepare meeting agenda

  • Monitor NFPA communications

  • Serve as account contact for registered domain provider and website host

  • Assign NFPA chairperson to represent MTPA

  • Attend leadership meetings/conferences

  • Work with and assist other board members as necessary

  • Organize and plan board elections for upcoming year 

Vice President

  • Serve in absence of President

  • Shadow all duties of President

  • Provide nametags for attendees of monthly meetings
  • Organize and plan annual student reception

  • Organize all membership drive activities (January luncheon, various speaking engagements at area paralegal schools)

  • Order member gifts and holiday gifts

  • Provide quarterly membership numbers to Director of Finance for submission to NFPA; submit membership addresses to NFPA for Paralegal Reporter delivery

  • Respond to all membership related e-mails received via the MTPA website

Director of Operations - Secretary

  • Serve in absence of President

  • Interpret and define bylaws to board as necessary

  • Assist Director of Finance with sign-in desk at monthly meetings

  • Responsible for retrieval of mail from the post office box at least once per week and distribution of mail to other board members--share duty with Director of Finance

  • Attend monthly board meetings and special meetings, record meeting minutes, submit draft for board review

  • Maintain corporate minute book in accordance with federal and state reporting requirements

  • Serve as contact person for Job Bank; post all jobs to MTPA website

  • Assign and manage Publicity Chairperson; assume position should it remain vacant 

Director of Programming

  • Plan, attend and schedule monthly luncheons; submit paperwork to NFPA for CLE accreditation when applicable

  • Coordinate with caterer for monthly meetings

  • Coordinate monthly meeting space

  • Distribute advance notice of monthly meetings with speaker bio and information via blast e-mail and MTPA website

  • Assign and manage Community Service and Scholarship Chairperson positions; assume roles should these positions remain vacant

  • Distribute notice via blast email and MTPA website of all community service projects (including Pro Bono Clinics)

  • Edit all website pages to include speaker and topic information for monthly meetings

Director of Finance - Treasurer

  • Responsible for collection of all membership, meeting, CLE and special event fees

  • Responsible for retrieval of mail from the post office box at least once per week and distribution of mail to other board members--share duty with Director of Operations

  • Manage MTPA bank accounts and deposits

  • Responsible for all MTPA disbursements

  • Draft and maintain MTPA's annual budget report

  • File all necessary Federal Tax documentation annually

  • File Annual Report with TN Secretary of State
